1 Overview
Every account in bxp is unique, just like every person in your organisation.
With a standard bxp account all work, quality, training and cross business work will be recorded and associated with the account. It is also possible to attach HR data to these accounts and provide a full Employee Self-Service (ESS) portal which matches the operational needs of your HR department, in a secure and auditable way.
It is possible to give all staff a self-service account in bxp for free using placeholder accounts, though functionality will be limited in these accounts. Placeholder_Accounts
2 Primary Terms
Different companies can use different terms for the same thing. This is called jargon. To reduce confusion we provide the terms that bxp use throughout our documentation.
- A user is a unique bxp account
- An applicant is someone who is a potential employee of your company but is not employed by your business
- An employee is a person who is employed by your business
- A contractor is a person providing service to your business but is not directly employed by your business
- A supplier is a company providing service to your business
- A "bxp client" is a business who is paying for the bxp service
- A "client" is a business who is paying your business for your products or services.
- A customer is someone who your business is in contact with and with whom you are currently doing business
- A prospect is someone who your business is in contact with but with whom you have no commercial arrangement
3 Getting started
The first step in configuring bxp for Human Resource Management is to identify some basic information which will greatly aid your setup.
- Organogram : Identify an organogram to ensure all aspects of the business are included.
- Primary Details : Identify departments, roles and cost centres
- Employee Self-Service : Decide what aspects of your HR process you wish to include / process through bxp's self service portal
- Key Documentation : Decide what key documents you must capture and facilitate for your employees
- Training and Personal Development : Decide what training is essential to provide to your employees from the moment they start with your business
- Time Management : Tracking all aspects of how time is spent and managed
- Reward Management : The various tools to ensure staff are remunerated properly for their efforts.
- Security and Data Protection : Correct storage of information on users and compliance with GDPR and Data Protection regulations.
Different businesses include different departments in their HR area. In bxp HR, Training, Payroll and Security are treated as separate entities though we recognise the significant overlap that occurs in many businesses.
3.1 Organogram
bxp provides an organogram management structure for managing users, clients and anyone else who needs a login. A user can be a member of more than one group.
Organogram_with_Group_Profiling details how the organogram works.
3.2 Primary Details
The primary details are classifications which can be applied to all users and provide useful unique grouping capabilities.
- System_Access_Management_-_Departments
- System_Access_Management_-_Role
- Cost Centres are free text fields which are used in user reporting.
3.3 Employee Self-Service (ESS)
ESS is described here Employee_Self-Service_(ESS)
3.4 Key Documentation
Key documentation relating to HR practices, policies and procedures should be made available to new and existing employees. Examples are Health and Safety policy, Data Protection policy, Employee Handbook, Manual Hanlding guidelines.
Instead of providing printed copies which can go out of date or go missing, it is possible to store and facilitate the provision of these documents through the eCourse module of bxp.
Using eCourse also ensures the recording of "access" to see when and where material has been accessed. What_is_an_eCourse
3.5 Training and Personal Development
As with the Key Documentation there is the aspect of providing training materials, testing that material has been absorbed, quality assurance management and personal development. This area is documented in a number of aspects of bxp. Support for the annual review process is also possible.

3.6 Time Management
Frequent requests of time management include :
- Managing clockings
- Annual leave requests
- Illness and exceptional time management
- Managing Working Time Act requirements and legislation adherence
bxp has various solutions to compliment your existing tools or provide you enhanced tools to meet your requirements.
For work tracking
- Projects and Work Types allow for grouping of work
For time tracking (time sheets)
- Time Track provides time sheets which are linked to projects and work types
Diary management
- Appointment Management provides diary management for training and leave management
Roll Call management
- Roll call for training courses or conference attendance
3.7 Reward Management
bxp can provide financial data to facilitate the payroll function of a HR department.
Please note that this section of bxp is in development for bxp Release 10 SER 2 and SER 3 which will be release early 2018.
Many aspects of the solution are available now and documented below but please forgive the incompleteness of the documentation as of today.
- Pricing Matrix allows monetary values to be associated with projects and work types
- Expenses management allows for expenses tracking
- Form Revenue Header and CCL revenue tracking allow for work based capturing of costs
- Form_Revenue_Header
- CCL Revenue recording Bxp_R10SER2_-_Form_Management#Revenue_Header_CCL_changes
bxp also has a full gamificiation engine for all forms of reward support. Scenario_-_bxp_for_Gamification
Support for the annual review process is also catered for.
3.8 Security and Data Protection
bxp is a very secure platform and has advanced security compliance and regulation compliance capabilities. The departments of Security, Risk, Legal and Compliance are all catered for. This area begins here: Security_-_Start_Here
bxp has extensive configuration options to provide very granular user level permissions. Function_Vs._Content
The scheduled data protection routines facilitate safe business practices and facilitate full compliance with GDPR and Data Protection Law compliance. Form_-_Data_Protection_-_Scheduled
