1 Overview

There are many types of leave.

  • Sick Leave
  • Casual Leave
  • Earned leave / Paid Leave
  • Sectional / National Leave
  • Maternity Leave
  • Paternity Leave
  • Transfer Leave
  • Study / Sabbatical Leave


Depending on an employee's contract different amounts of leave are possible.

Managing leave depends on what tools you have available with respect to what is in the contract.

Depending also on the maturity of your HR model different approaches to leave management for your business are possible.


In bxp there are three models available to help you manage your leave.

  1. Form based
  2. Diary based
  3. Holiday Management module


2 Leave Management approaches

2.1 Form based

This approach is the fastest and simplest to set up.


You are creating a request form with different outcomes in it. The outcomes reflect the stages in your approval process.


The form can be built and distributed company wide in minutes.


If mass users are required without bxp licences, you can create the form to allow people request and use outcomes to send emails / text messages to applicants. You use the public form version of the form to allow a user log a request. Form_-_Public_Forms


By adding a numbering field in the form you can easily total the amount of leave by type a user has amassed.


2.2 Diary based

Using a combination of the form based and the Appointment Management module, leave can also be recorded in a diary based format.


Each entry in the diary can have a category. The categories are set to the types of leave.


Using the Period Person Category filtering report it can be easy to see where other people have had leave entered into the diary and also to report on leave taken.


2.3 Holiday Management module

This solution is the most comprehensive of the solutions as it uses a number of inbuilt system features to improve accuracy, simplicity and reduce the chance of errors.


Using the HR module, details of a staff's entitlements can be recorded with the user. A list of the fields is available here Employee_Self-Service_-_Fields#Contract


The module provides a prebuilt structure which is able to work closely with the HR data stored with the user, flagging different challenges such as "no leave left", "non used leave" and checks against entitlements.


The process provides prebuilt worklists for Department managers and Security Group managers to closely administer leave management.
