1 Overview

The Appointments feature can be used to schedule and manage appointments with Customers and Prospects. Appointments can be added to any active Prospect or Customer record and can be viewed or amended at any time. This article will cover how to add and edit Appointments and the various options for reviewing appointments.


2 Appointments Tab

Appointments cannot be added as standalone records but must instead be associated with a specific Prospect or Customer. The Appointments tab displays all of the existing appointment stats for a Prospect or Customer, and allows for adding new Appointments and reviewing a records full Appointment history. To access it, first open the Prospect or Customer, then click on the the Appointments tab.

The tab also displays an overview report detailing the number of appointments scheduled, completed and cancelled for this record.

3 Add Appointment

To add an appointment, click on the Create New Appointment button under the Appointment tab for the Prospect or Customer you wish to schedule the appointment with. You will be forwarded to the new appointment interface.

The menus is separated into three tabs:

  • Appointment Details - Primary Details
  • Appointment Notes - Pre and Post Appointment notes
  • Appointment History tab - Miscellaneous record information


The Appointment Details tab retains the primary details for the appointment, all fields in this tab are mandatory. Once you have filled in the Appointment details, click on Save Appointment to submit it.


4 View Existing Appointments

There are two ways to review Appointments after they have been added to the system:

  • Viewing via the Appointments Tab.
  • Viewing via the Appointments menu.


4.1 Via the Appointments Tab

You can view the Appointments specifically associated with a Customer or Prospect by opening the Customer or Prospect record, navigating to the Appointments tab, and clicking on the View All Appointments button. This will redirect you to a list of all Appointments made under this contact.

4.2 Via the Appointments Menu

You can view a variety of sorted Appointment lists under the Appointments option on the Menu sidebar. To open them, click on the Appointments option from anywhere in the system and then select the list you want to view. The options are:

  • My Appointments this Week - A Schedule of all appointments set to occur during the current business week.
  • My Missed/To Update Appointments - A list of appointments that have passed their scheduled date/time but have yet to have their status updated to reflect the outcome of the meeting.
  • All My Appointment - A list of all Appointments assigned to the current logged in user.
  • All Appointments - A complete list of all Appointments in the database.

5 Searching and Sorting Appointments

Regardless of which list you use, the columns and functionality will be the same. As with other similar lists in the system, these can be sorted by clicking on the header of the column you want to sort by or filtered by typing a search Term into the Search field in the top right hand corner of the menu. Appointments can be searched by the following criteria:

  • Appointment Type
  • Appointment Status
  • Appointment Location
  • Customer/Prospect Name
  • Start Date & Time
  • Duration

6 Update Existing Appointments

To update an existing appointment, first locate the appointment you want to update via any of the lists described above, then click on the Open button in the leftmost column of the record.

You can then update the Appointment record's fields as needed. Note that the same list of mandatory fields applies here as when adding an Appointment initially. Once you have made your changes to the record, click on Save Appointment.
