1 Overview
At All n One we are often in need of seeing some data in order to be able to better help you and your processes. However looking after the security of the content of your data is really really important. This article is to allow you see what options are available in sharing data with us.
2 Step 1. NDA
You cannot send us data unless there is a Non-Disclosure Agreement (NDA) in place. This document means that All n One and it's employees will only use the data to help quote or advise. Once we're done with our discussions we will delete the data for your protection.
Your sales rep or business development manager will be able to provide one to you. We can also use yours instead if you have one ready to go.
So question 1, is the NDA in place?
3 Step 2. Data
Putting some data in an email is really easy to do. The challenge is that your email has to go out into the internet in order for it to arrive on our email servers. Anyone could be reading the contents of that email. It may never happen but why risk it when there are better options available.
In the data that you're sending, if the information is log data or not important, then we don't need to worry. If however you're sending Personally Identifiable Information (PII), i.e. anything where a name, date of birth or a phone number is in it, then you must at least try to protect it. This is what "Data Protection" (DP) is. You're responsible for protecting the information.

Things like Excel do have the ability to be securely encrypted. It is a hassle. Also when it's attached to an email, it could still be intercepted. With the power of modern computing, a brute force hack, simply trys every password combination possible until it works it out. So in short, encrypting an Excel sheet and sending it by email, isn't as secure these days. Imagine a door code, with 10 numbers, try hard enough, you'll figure it out, simply by process of elimination.
4 Step 3. Secure transfer
Now the good news. bxp has a really easy mechanism for getting us the file. bxp has advanced encryption and security built in. Use this security and you can just upload your Excel straight into bxp without having to do anything different.
We will send you a secure log in to bxp. You need three pieces of information. A web address (URL) to allow you log in. A username and a password for your account.
- System : https://ww3.allnone.ie/demo
- Username : Firstname Surname
- Password : supplied to you
You log into bxp. Now there are two different ways to go.
Alternately we can create you an eCourse, which can become an ongoing repository for your documents that you may wish to share. If it is an eCourse, we will send you all the details for it.
- Main Menu > eCourse
> Read > Read a Book > Select the Book > - Open up the Chapter Icon by clicking on it
till it becomes
- Choose your page

- On the page find the "Add Media to this Page" button

- Upload your file
This process is very secure and auditable.
5 Step 3. Alternate retrieval
We do have other options, especially if you're technical
- SFTP folder. We can provide an sFTP folder if you prefer this
- TeamViewer / VNC retrieval / Remote Desktop. We can come into your server or machine, with your permission, and get the data with your permission
6 Step 4. Getting help
