1 Overview

This function in System Access Management allows group change of users details.


This feature was first introduced 2012-08-21 File:Project - Mass User Details Update v1-3.docx


2 Options

Please note that all these functions are replacement not addition. Changes are immediate and no roll back is possible.


There are a number of group settings which can be mass updated :

Function Area Description
Background Interface The background image of each specific user
Big Buttons Interface The Control Bar - Big Buttons setting
Company User Settings The company text box which is set for each user.
Cost Centre User Settings The cost centre of each user
CSS Interface The CSS style sheet to be used for each user
Department User Settings The department of each user
Interface Bars - Main Interface Setting the Interface Bars for the Main Menu for these users
Interface Bars - Section Interface Setting the Interface Bars for the Module Menus for these users
Interface Bars - Page Interface Setting the Interface Bars for the Pages for these users
IP Address Range Security Setting the IP addresses these users can access from
Job Title User Settings The job title of the users
Location User Settings The location of the users
Logout Timing Security The time in seconds of when a user will be logged out
Module Restriction Security Removes access to a module for the selected users
Password Reset Security Will require the selected users to change their password on next login
Password Change Security Will reset a user's password and resend a welcome email. They will be prompted to change it on their next login.
Role User Settings The role of the selected users
Section Access Security Grants section and module access to the selected users
Section Restriction Security Removes section access from the selected users
Status Security Group status change including, group retire capability
VoIP Technology User Settings VOIP settings for the users
Form - Mass Add Content Access Mass add form access for the selected users
Form - Mass Remove Content Access Mass remove form access for the selected users
eCourse - Mass Add - Read Permission Content Access Mass add eCourse Book Read permissions for the selected users
eCourse - Mass Add - Edit Permission Content Access Mass remove eCourse Book Read permissions for the selected users
eCourse - Mass Remove Content Access En Mass removal of eCourse Permissions for Book Read for the selected users
LDAP - Authorised IP User Settings Mass add LDAP - Authorised IP Addresses

3 Worked example - Department changes

The next step is to move all the users to the general department.

  • Main Menu > System Access Management > System Management > Group User - Modify Details
  • You are given a lookup screen. Type nothing in and click "Lookup User" and all users will be returned.
  • From the top drop down list choose "Department"
  • From the second drop down list choose "General"
  • Choose all users other than the users in the All n One department. You can click the "Select All - X" buttons to select all the tick boxes for the users in the department. This saves a lot of individual clicking.
  • At the bottom click "Save and continue"


At this stage all users will be in the "All n One" or "General" department.



4 Worked example - IP Address Range

When working with CTI (Computer Telephony Integration) it is required for users to have IP addresses. When a new IP address comes along mass editing is handy.

  • Main Menu > System Access Management > System Management > Group User - Modify Details
  • You are given a lookup screen. Type nothing in and click "Lookup User" and all users will be returned.
  • From the top drop down list choose "IP Address Range"
  • In the second text box that appears put in ALL the IP addresses that the users will be coming in from.
  • Choose all users other than the users in the All n One department. You can click the "Select All - X" buttons to select all the tick boxes for the users in the department. This saves a lot of individual clicking.
  • At the bottom click "Save and continue"


At this stage all users selected will have all the IP addresses that were typed into the box.
