Placeholder Accounts
A Placeholder Account is a special type of account in bxp software (bxp).
The account allows for a user to be created on the system with view to that user becoming a full user in the coming future.
The primary overarching benefit of placeholder accounts is that they are not billed.
While an account is a placeholder it serves a number of purposes and has limited functionality available to it. A placeholder cannot access any module or use any module functionality. It does have access to common, non-module based functions. These include:
- The Latest News including the confirmed read ability
- Reminders - View
- Reminders - Add
- Publicly accessible forms (which only have one set outcome with no validation or functionality)
- Customised buttons on the Main Menu
Having a placeholder provides system administrators with a number of advantages:
- Quality Assessments can be performed and assigned against placeholders
- Placeholders can be built and easily turned into live users with a limited number of clicks, speeding up go live
- Instead of retiring accounts that are temporarily not in use, they can be converted to placeholders, with a view to going live soon again. This makes accounts easier to find to reactive
- Placeholders can fill out the gaps in Organogram Security Groups to give a fuller company picture of staff and team assignments
- Placeholders can prevent accidents with double entry of staff names and details
- Placeholders can be group texted and group emailed from the Communications Centre module
To set an account as a placeholder:
Main Menu > System Access Management > user Administration > Edit User - Security Details > Search for the User > On the edit page "Status" should be changed to "Placeholder"
