1 Overview
bxp software (bxp) provides a secure hosted environment with extensive functionality but there are occasions where large numbers of users require access to limited functionality and in these instances normal user accounts may not be appropriate. Placeholders provide free, partial access to the system to bridge that gap.
A Placeholder Account is a special type of account in bxp software (bxp).
The primary overarching benefit of placeholder accounts is that they are not billed.
2 Functionality
While an account is a placeholder it serves a number of purposes and has limited functionality available to it. A placeholder cannot access any module or use any module functionality. It does have access to common, non-module based functions. These include:
- The Latest News including the confirmed read ability
- Reminders - View
- Reminders - Add
- Help ME! engine
- Suggestion Box
- Publicly accessible forms (which only have one set outcome with no validation or functionality)
- Forms (requires Form Management and Inbound)
- Incident / Case Logs (requires Form Management and Case Management)
- Surveys (requires Form Management and Survey)
- Quality Forms (requires Form Management and Quality Assurance)
- Votes
- Customised buttons on the Main Menu
NOTES: Placeholder forms do not support customised JavaScript or links to eCourse references. For reporting purposes data logged in the form by a placeholder is available through Data Profiling but only as Data and Visualisation reports. Statistics and Scoring apply to live user accounts only. Custom forms and reports can be built as one-off, chargeable events.
3 System Uses
Having a placeholder provides system administrators with a number of advantages:
- Quality Assessments can be performed and assigned against placeholders
- Placeholders can be built and easily turned into live users with a limited number of clicks, speeding up go live
- Instead of retiring accounts that are temporarily not in use, they can be converted to placeholders, with a view to going live soon again. This makes accounts easier to find to reactive
- Placeholders can fill out the gaps in Organogram Security Groups to give a fuller company picture of staff and team assignments
- Placeholders can prevent accidents with double entry of staff names and details
- Placeholders can be group texted and group emailed from the Communications Centre module
4 Creation
To set an account as a placeholder:
Main Menu > System Access Management > user Administration > Edit User - Security Details > Search for the User >
On the edit page "Status" should be changed to "Placeholder"
Placeholder accounts can be created en mass using the SAM template for account creation. Mass_Adding_Users
