All n One can create documents for circulation. Equally professional results can be achieved relatively easily in house. We provide details below on some tools and techniques that can be applied to create documentation. This approach is ideal for material that goes out of date quickly. If however the material is relatively static (changes only every 6+ months) opting for Voice over PowerPoint can be a far more engaging way of creating material. | All n One can create documents for circulation. 1 Overview
bxp software (bxp) comes with numerous training support documents (Wixis, word documents, pdfs, videos, interactive materials). Often clients request custom training material that are specific to their systems and their layouts. Of course All n One would be delighted to develop up professional materials however All n One also feel that good results can be achieved by anyone with a bit of knowledge and background. This article provides some of this background and hopefully will save our clients many billable hours.
How people learn can be very different. Different forms of teaching include Behaviourism (through physical reinforcement), Cognitivism (tradition Teacher - Student classroom), Constructivism (explore knowledge using a system to facilitate exploration). For more information on this area http://ci484-learning-technologies.wikispaces.com/Behaviorism,+Cognitivism,+Constructivism+%26+Connectivism
2 Training medium
There are a few training mediums possible:
- Side by side training
- Classroom training
- Document based training
- Voice Over PowerPoint based training
- Live / Animation Video based training
- Interactive based training
The largest challenge for any training is time so please consider the following matrix to choose what is most appropriate.
| Type | Relationship | Personalised | Reusable | Time to build | Cost | Time to Roll Out |
|---|---|---|---|---|---|---|
| Side by side based | 1:1 | Yes | No | Trainer training | Low | Short |
| Classroom based | 1:Many | No | No | Trainer training | Low | Short |
| Document based | 1:Many | No | Yes | Document building (2 hours dev per 1 hour training) | Low | Medium |
| Voice Over PowerPoint based | 1:Many | No | Yes | Video building (5 hours dev per 1 hour training) | Medium | Medium |
| Live Video based | 1:Many | No | Yes | Video building (10 hours dev per 1 hour training) | High | Long |
| Interactive based | 1:1 | Yes | Yes | Interactive building (12 hours dev per 1 hour training) | High | Long |
3 Types
3.1 Side by side based
3.1.1 Description
Also know as Tutor - Student, is where someone sits side by side with the user to show them through the system. This is useful as the student gets 1 on 1 attention, however it does not leave reusable materials unless the student takes their own notes. This is the fastest to roll out.
3.1.2 Preparation
Requires the Tutor to know the system.
3.1.3 Recommendation
In our experience All n One is most effective when we "Train the Trainer". Usually this is your System Champion or equivalent. All n One do not charge to prepare the training material but do charge for every hour of training delivered. All n One also provide numerous supporting training and Wixi documents in support of the training.
3.2 Classroom based
3.2.1 Description
Moving the tutor to the top of the room can provide an ability to deal with more people at the same time but is not reusable. So the tutor needs to be available for every course and it is not always possible to get everyone in the same room at the same time.
3.2.2 Preparation
- Usually a PowerPoint template is required
- Access to the system and demonstration through a projector / large screen
- In class handouts or eCourse supporting material is advisable to give people something to take away
- Giving each student separate access to a PC / device to following can greatly assist system training
3.2.3 Recommendation
All n One can develop PowerPoint slides to facilitate the training. Alternately All n One can design and deliver the training on your site or in the All n One facilities. Cost is charged for travel, delivery and subsistence (if required).
3.3 Document based
3.3.1 Description
This is the first of the reusable types. Traditionally these would be seen as Word Documents or Adobe PDF documents. These documents are distributable through a number of communications mediums including: Print, Email, Website, eCourse.
3.3.2 Preparation
Building a document is very similar to delivery of a classroom based program. The difference being that the writing of the document must be clear and detailed. Please note that writing clear and understandable training material is a complicated skill and ensuring that the material is clear and easy to follow / learn from can take years of practice. The skill is known formally as "Technical Writing" http://en.wikipedia.org/wiki/Technical_writing
3.3.3 Recommendation
All n One can create documents for circulation. Equally professional results can be achieved relatively easily in house. We provide details below on some tools and techniques that can be applied to create documentation. This approach is ideal for material that goes out of date quickly. If however the material is relatively static (changes only every 6+ months) opting for Voice over PowerPoint can be a far more engaging way of creating material.
3.4 Animation based
3.4.1 Description
These are the designs that appear to be hand drawn or animated characters. As they don't depict any one person, place or thing, they are very effectively outsourced or done by people who might be camera shy to develop.
3.4.2 Preparation
- Clipart / Images
- Encoding tool
3.4.3 Recommendation
You can have professional ones developed by an outsourced company. There is one exceptionally useful tool : Sparkol's VideoScribe. It's easy to use and gives good results in short spaces of time http://www.sparkol.com/
3.5 Voice Over PowerPoint based
3.5.1 Description
This is an increasingly popular approach and technically easy to achieve. A PowerPoint is created. For each slide, audio is recorded as if delivered in a classroom setting. All of the slides and audio are compiled into a single video which can be watched. Distribution can be done through YouTube, Websites or through eCourses.
3.5.2 Preparation
- A PowerPoint
- Audio recording through a microphone for each slide
- A tool to compile the material into a video
3.5.3 Recommendation
The approach creates reusable material which can build into a useful business resource / library. Please note that if the material is likely to go out of date quickly, reverting to faster ways of creating training material can be preferential. All n One use Adobe Captivate and our strong in-house skills to develop material to construct the videos.
3.6 Live / Animation Video based
3.6.1 Description
This visually and communicatively can be the most effective alternative to classroom based training with the added advantage of being reusable and not requiring everyone to be in the same room at the same time. This approach is only suggested for material that does not change often (2+ years static).
3.6.2 Preparation
- Set objectives
- Collate material
- Storyboard
- Script(s)
- Engage Video Production company
- Actor retention
- Recording
- Post Production
- Review
3.6.3 Recommendation
All n One work with a number of video creation specialists including Court Yard Studios ( http://www.courtyardstudio.com/ )to produce video materials for numerous training and company introduction projects. This kind of output produces exceptionally attractive and effective material but is costly. All n One can help manage a project from start to finish.
3.7 Interactive based
3.7.1 Description
The most engaging and effective from a learning perspective is to design specific custom eLearning. This discipline is an area of expertise all of it's own and is best left to professionals to develop and deliver.
Information on what goes into this subject ( http://www.it-tallaght.ie/courses/index.cfm/page/module/moduleId/1153 )
Companies such as Hughton Mifflin Harcourt can develop this material ( http://www.hmhco.com/ )
3.7.2 Preparation
- Set objectives
- Collate material
- Storyboard
- Script(s)
- Engage e-learning production company
- Review
3.7.3 Recommendation
Given the cost and speed to roll out this material it can be very costly to develop. It is recommended for material that would have a revenue generating aspect or be expected not to change for protracted periods (5+ years).
4 Developing Materials
4.1 PowerPoint templates
A good starting point for a lot of material is templates. Templates can help make very attractive material very quickly.
The Rapid eLearning Blog frequently supply suggestions. http://www.articulate.com/rapid-elearning/

4.2 Screen snapshots
These are really easy to do. First take a screen snapshot. Creating_a_Screen_Snapshot
Paste the snapshot into a word document, then you can draw arrows or other material on top for illustrative purposes.
In this way it is very easy to create Document based training material.
