1 Overview

Forms are data stores, which can be likened to an excel spreadsheet. In order to access the contents of the spreadsheet you must grant access to the data. This is called Content Access in bxp. CC-1-3_Introduction_to_the_Blended_Form_Structure


If you create a form, you are automatically granted access to it. Everyone else must be explicitly granted access.


There are a number of security tools to help mass management of users and forms, as it can quickly get complicated if there are a lot of users and a lot of forms. The following are supporting functions to help management access.

Operation tools include the following functions:


2.1 Profiling reports

2.1.1 System Reports - Form Profiles

Provides a high level report with summary from every form in a system. System_Reports_-_Form_Profiles


This report can take a long time to generate with a lot of forms in a system

2.1.2 Form - Profile Access to Form by Security Group

What Security Groups are associated with which forms. Organogram_with_Group_Profiling


2.2 Form - Profile Access to Form by User

  • Choose the form.
  • A list of authorised users will be displayed.
  • The date and time of each users’ last interaction with the form will also be listed.


2.3 Security access tools

2.3.1 Form - Single Add User by Form

The simplest tool. Add one user to one form.

  • Choose the form from the dropdown list.
  • Find the user on the dropdown list below the form list.
  • Store assignment.


2.3.2 Form - Multiple Add Users by Form

Very handy for adding multiple users to a new form.


2.3.3 Form - Multiple Add Forms by User

Very handy for adding multiple forms to a user newly added to the system.


2.3.4 Form - Multiple Remove Users by Form

So if you need to remove a group of people from a form, this is the way to go.


2.3.5 Form - Multiple Remove Forms by User

If you are trying to restrict a single user account, from multiple access, e.g. when you have a security situation or are user profile testing, this function is extremely handy.

2.4.1 Form - Add Security Groups to Form

Security groups facilitate the team reporting engine in bxp. The root of a security should be added to a form, though multiple levels can be added for complex setups.


  • Choose the form from the dropdown list.
  • Choose the group from the list.
  • Store the assignment.


2.4.2 Form - Add Forms to Security Group

If you've created a new security group and you need to add many forms to it quickly.


2.4.3 Form - Remove Security Groups from Form

Allows numerous Security Groups to be removed from a form quickly.


2.4.4 Form - Remove Forms from Security Group

When removing / restricting a Security Group, a very easy way of removing forms from that Group. Please not this will not remove inherited permissions from Parent groups.
