Create an eCourse through SFTP
From All n One's bxp software Wixi
When you need to create a lot of assets within bxp software (bxp) there is a quick way to create a book through mass transferring the files.
1 Operation
1.1 Preparation
An author starts with a number of files they want to upload to an eCourse in bxp.
It is helpful to ensure that the files, when they appear in the folder appear in the order you would like them to appear in your eCoure.
For example. We have three PowerPoint presentations:
- Welcome
- Process
- Statistics
bxp will create the eCourse in alphabetical order. So it will become
- Process
- Statistics
- Welcome
Instead if you simply but a number before the items, they will list alphabetically.
- 01 - Welcome
- 02 - Process
- 03 - Statistics
If you have over 10 items, ensure you put the numbers in starting with 0, so the 10th item doesn't get mixed up.
- 1 - Welcome
- 10 - Interesting details
- 11 - More details
- 2 - Process
1.2 SFTP Transfer
Using a Secure File Transfer Protocol (SFTP) client such as FileZilla, the All n One team can provide the user with secure login details which will allow the user to upload the files. This method allows files to be queued up and guarantees upload of files.
Over any time period, the files are transferred into the secure bxp environment.
Just be careful if multiple people are using this process at the same time that assets don't become confused or overwritten.
To set up your FileZilla please follow the instructions found here Using_FileZilla_for_SFTP
Your account will be automatically configured to the correct folder for eCourse uploading.
1.3 Processing uploaded files
When all the files have been transferred up, you log into bxp as normal
Main Menu > eCourse Management > Book Management > Create eCourse from sFTP files
You should see listed all the files you have transferred.
The system will generate an eCourse around all of the assets and perform automated naming.
You will be the only person granted access to the eCourse created.
There will be only one chapter. Each page will be named after the asset uploaded, with the file extension removed.
1.4 Reuse
With the assets uploaded and correctly indexed, it is now possible to assign those assets into other eCourses.
Open the page from this new eCourse where you want to reuse the asset somewhere else.
N.B. For your own double checking and validation it can be useful to note the Asset Id at this stage. Locate the asset Id below the asset on the page. It will be made of four sets of digits. AAA-BBB-CCC-DDD. A is the eCourse Id. B is the Chapter Id. C is the Page Id. D is the Asset Id.
Main Menu > eCourse Management > Page Management > Asset - Add > Choose Book > Choose Chapter > Choose Page > in "Please provide a word or phrase in the title?" copy and paste in the filename of the file you uploaded and want to include >
From here put the check beside the file you want to include and click save.
