1 Overview
bxp provides a very secure and auditable environment for businesses. Like any system the most important part is not the system, nor the content but the users. With audit trails available for all activities it can be difficult to keep track of everything a user does.
This article highlights the primary user profiling tools available.
2 Primary Access
Most user activity starts in System Access Management
It is important to understand the difference between functional and content access. Function_Vs._Content
To view the users functional abilities. Main Menu > System Access Management > User Administration > Edit User - Security Details > Lookup the User
So now with functional access determined the next review is the primary content. There are many content access possible through different modules. There is a primary content access report Main Menu > System Access Management > Security Reports > Security - User Profile - By Lookup > Lookup the user > It can take a while to generate this report as a number of key pieces of information are determined. Access is grouped by:
- Project
- Form
- eCourse
- Conference Centre
3 Security Information
The next group of primary tasks when profiling a user is to review the security settings and activity of the user.
Firstly password strength is useful to review. This is more often done on a group basis. Main Menu > System Access Management > Security Reports > Security - Password Strength Use Ctrl and F to find in your browser and just look up the persons name.
Next is their logins. Again as per most of the security reports they are grouped. Main Menu > System Access Management > Security Reports > Login Report - All Logins > Choose the period > Again using Ctrl and F will help you locate the user quickly.
The next check for a user in terms of security is to see are they locked out. Main Menu > System Access Management > User Setup Requests > Release Lock Out
The last part of the security set is to view auditable actions. Only certain major actions make the key activity audit log. This limitation removes all of the inconsequential activity. Main Menu > System Access Management > Security Reports > Security - System Events Audit Trail > Choose a period > Logs here are only kept for 6 months.
Main Menu > System Access Management > Security Reports > Security - User Profile - By Lookup provides a security report which details numerous content access, some audit events associated with this account (Brief Audit Trail) and a Login History
4 Data Storage
Within bxp there is a lot of information possible to be stored about a user. This is to provide the maximum integration and flexibility especially when working with Human Resources systems integrations.
Everything is based on a single Id which is unqiue through the whole of bxp. All activity is linked to this user Id.
The fields available are :

As you can see from the list an extensive amount of information can be stored about the user. Depending on the security settings of the system more or less of these fiels will be used.
5 Content based profiling
There are many reports in the system which focus on user activity. We now highlight the easiest ways to gather information about a user
5.1 Forms (including tests)
There is a very useful report which allows an admin to view all of the data entered by a user into all forms.
Main Menu > Data Profiling > Instant - Data > Data - User - All records for all Forms - Report by Period by User > Choose the period and the user
This report looks up what forms the user has access to. Then for the period specified returns all the data from all columns for all records that user interacted with.
N.B. Please be patient with this report as it can take some time to generate
5.2 eCourses
The next most commonly reviewed item is what material is looked at in eCourses by a specific user. Main Menu > eCourse Management > Reporting > User View Audit Report > Choose the period and user >
