1 Introduction

All n One operate a number of processes and procedures for systems security. Each member of staff is constantly reminded of their security responsibilities by being responsible for their own computers security. To facilitate this there are a number of programs and step by step instructions that need to be followed.


This wixi article supports those internal procedures with useful supporting information that can be useful to all users. As All n One machines are all monitored under the latest software this step by step process has been created for windows 10 users.


2 System Optimisation

2.1 System Optimization Scan

In order to keep your computer running as efficiently as possible there are a number of procedures which can be performed. All of these can be done manually but optimisation programs can speed up the process by performing the tasks for you. Before we run our security scans we complete the system optimization first. This will remove some excess files and thus speed up the security scan process.


Ccleaner is one such system optimisation tool https://www.piriform.com/ccleaner/download

  • 1. On the bottom of the screen you have your task bar. Click on the icon for the magnifying glass.
  • 2. This will open a small window for searching windows. In the search field type Ccleaner and open the Ccleaner desktop app
  • 3. Once open you may be prompted to update to the latest version of Ccleaner. If so click "no" But note it in the security document in the required section.
  • 4. Once Ccleaner is open click the "Run Cleaner" button in the bottom right of the window.
  • 5. Once the scan is completed and the results are displayed. Imput the information into the security maintenance form

3 System Security

3.1 Anti-Virus Scan

Computer virus' come in many forms. They have many ways of getting onto your computer. This first check is an in-depth scan of your computer to locate any potential infiltrations.

  • 1. On the bottom of the screen you have your task bar. Click on the icon for the magnifying glass.
  • 2. This will open a small window for searching windows. In the search field type AVG and open the AVG 2015 desktop app
  • 3. Once open click on the Cog icon located beside the "Scan now" option
  • 4. Click on "Scan Whole Computer"
  • 5. Once the scan is completed and the results are displayed take a screenshot to add it to the required security document"

3.2 Anti-Spyware scanner

It is advised to run the system optimization software before them Spy-ware scanner. Spyware is tracking software which comes in many forms but primarily from surfing the web and going onto unscrupulous websites or attachments from emails like a virus.


One tool is Spybot Search and Destroy https://www.safer-networking.org/mirrors16/

  • 1. On the bottom of the screen you have your task bar. Click on the icon for the magnifying glass.
  • 2. This will open a small window for searching windows. In the search field type "Spybot" and open the SpyBot - Search and destroy desktop app
  • 3. You maybe prompted with a small message window when opening spybot search and destroy. Click "OK" to continue and open the program
  • 4. Once the program is open we must first check for the latest updates. To do this click on the "Search for updates button" (You may be prompted with a user access control window. If so make sure the verified published states :"Safer networking" and click yes )
  • 5. In the next window click the "continue" button at the bottom of the screen. It will then open a new window listing all the updates available. Click "download" to receive them.
  • 6. Once back to the opening screen of the application click "Search & Destroy" and then "Check for problems" to begin the Spyware scan.
  • 7. Once the scan is completed and the results are displayed take a screenshot to add it to the required security document"

3.3 Operating System Updates

Your operating system allows you to use the hardware of your computer. It is a form of computer program and fixes and updates to it are common for all hardware devices. PCs, tablets, phones all the same.


For Microsoft Windows 10 machines:

  • 1. On the bottom of the screen you have your task bar. Click on the icon for the magnifying glass.
  • 2. This will open a small window for searching windows. In the search field type Windows update and open the "Check for updates System settings App
  • 3. This will open a update settings window. Click the button to "Check for updates"


3.4 Installed Software Check

When installing programs it is possible to "accidentally" install tracking and other malicious programs. A simple check is to eyeball the most recently installed programs.


For Microsoft Windows 10 machines:

  • 1. On the bottom of the screen you have your task bar. Click on the icon for the magnifying glass.
  • 2. This will open a small window for searching windows. In the search field type "appwiz.cpl" and press enter.
  • 3. This will open a window displaying all of the current software downloaded and installed onto the machine. Click on the "Installed on" column to organise by newest installed first on list.. 


3.5 Email Back-up Process

E-mails contain far more vital information then most think. Client contacts, jobs, reminders all exist in the email inbox. This is why it is most important that we back your emails up.


Open up your instance of Outlook. (email program)

  • 1. At the top of the screen click "File"
  • 2. The click the button for account settings and click account settings again after the drop down list presents itself
  • 3. You are now in the account settings window in the tab "email". at the bottom of the window you will see the location of your data file. Mine by example is "in data file C:\Users\...\Outlook Files\thomas.glennon@allnone.ie.pst"
  • 4. This means i know my .pst (outlook email file) is located in the outlook files folder.
  • 5. To navigate to this folder i go "This PC", Then "Local Disk (C:)", Then "users", then your account name example "(thomas.glennon)", Then "Documents", then "outlook files". You should now see the .pst file you were looking for.
  • 6. CLOSE YOUR INSTANCE OF OUTLOOK!!
  • 7. right click the .pst file and click copy
  • 8. Open thesues and navigate to the following folder and select you initials. "\Theseus_BackUp\99 - Back-ups  Security checks\02 - Email Backup"
  • 9. Go into this months folder
  • 10. right click in the empty folder and click paste. this will copy your .pst file to this location
  • 11. Once the transfer is complete you can reopen outlook and start using your email again.
